Hand holding a pen checks a box on a paper with a grid of empty and marked checkboxes. Focus on checklist, blurred background.

A lot of charities tell me, “We collect loads of data… I’m just not sure it’s the right data.” That’s often a sign your impact measures are meeting funder needs, but not consistently helping the people running the service day to day.

This impact measures health check is for live services under day-to-day pressure. The ones where staff, volunteers, and partners are already at capacity, and you need solutions that fit into the workflow, not a big framework overhaul. It’s a quick, directional check to help you spot where to focus first.

It takes about 2 minutes. Answer for how things really are today, not how you wish they were.

Tally your 'Yes' answers to see your score below. There’s no ‘perfect’ score. Aim for usefulness.

Do you have a clear, measurable impact goal that staff and trustees agree on?

Yes / No

Are the metrics you collect directly tied to that goal?

Yes / No

Do you have a small set (around 3) of key metrics that matter most right now?

Yes / No

Would a drop in any of those metrics get your team’s attention straight away?

Yes / No

Were these measures shaped with staff and, where appropriate, beneficiaries?

Yes / No

Have you asked beneficiaries (where appropriate) what outcomes matter most to them in the last year?

Yes / No

Is your impact training practical and interactive (not just slides)?

Yes / No

Do you review and tidy your metrics at least once a year?

Yes / No

Have you retired any metrics you weren’t using to make decisions?

Yes / No

Do you track external context so fluctuations are interpreted accurately?

Yes / No

Mostly Yes

(8–10 'Yes' answers)

Signal: High-functioning and impact-led

Your answers suggest you have an impact system that supports real day-to-day decisions and compliance needs. Your team most likely sees data as a tool, integrating data collection into daily operations.

Next Level:

Focus on contextual intelligence. Ensure you are tracking external factors (like policy shifts or economic trends) so you can explain why your impact fluctuates to your Board and funders.

Mix Yes/No

(5–7 'Yes' answers)

Signal: Solid Foundation, Integration Gap

Your answers suggest you have the basics in place, but there might be a gap between data collection and daily action. Your data is likely accurate, but it isn't yet essential to your frontline team.

Next Level:

Solve the homework trap. Host a brief data tidy session with staff to identify which metrics feel like a burden and which ones actually help them make better decisions for beneficiaries.

Mostly No

(0–4 'Yes' answers)

Signal: The Alignment Opportunity

Your answers suggest your reporting might feel like a heavy administrative burden that doesn't yet reflect the true value of your mission. You are likely busy with data, but not yet informed by it.

Next Level:

Find your north star. Don't try to fix the whole system at once. Identify the one outcome you exist to achieve and pick two or three simple ways you can begin to prove you are moving toward it.

Next Steps: Improving Your Charity Impact Measures

Don't let your results sit on a spreadsheet. Whether you scored a "Mostly Yes" or a "Mostly No," the next step is the same: moving from data collection to daily utility.
